Booking, Payment and Date Changes with Eco Trip Asia (2026 Guide)

How booking works with Eco Trip Asia: the small deposit, paying the balance on the tour day, free date changes, child prices and what is included.

Updated 11 Oct 20265 min readBy the Eco Trip Asia team in Hanoi

Quick answer

Pick your tour, date and time and send a free booking request. A small deposit secures your place – 15% under US$100, 10% from US$100 – paid online, and the rest is paid on the tour day in cash (dong or US dollars) or by bank transfer. Deposits are non-refundable, but you can move your date for free, subject to availability.

How booking works, step by step

  1. Choose your tour, date and departure time on the tour page. You can book up to a year ahead.
  2. Pick group or private (see below), the number of adults and children, and any extras – for example a female guide in an ao dai on our Hanoi jeep tours.
  3. Add your pickup details: your hotel name and address, or that you will meet the guide at the starting point.
  4. Add dietary needs and allergies in the booking notes, plus anything else we should know (mobility, children’s ages, preferred vehicle on an Instagram tour).
  5. Send the booking request. This is free and you receive a booking reference.
  6. Pay the deposit to secure your place, including your booking reference in the transfer note.
  7. Pay the rest in cash on the tour day.

Paying: deposit now, balance on the day

The deposit

A small deposit secures your spot: 15% of the total for bookings under US$100 and 10% for bookings of US$100 or more. The exact amount for your booking is shown when you book. You pay the deposit online to secure your booking; the exact amount and the payment method are shown when you book. Please add your booking reference to the payment note so we can match it.

If you have any trouble paying, message us on WhatsApp and we will help. Full details are on our payment policy page.

Local tip: take a screenshot of your booking reference and your deposit confirmation. On the tour day, it is the quickest way to sort out any question about what you have paid.

The balance on the tour day

The rest of the price is paid on the tour day. You can pay in cash – Vietnamese dong or US dollars – or by bank transfer. Bring the amount shown in your booking. ATMs are easy to find in central Hanoi; see our money and tipping guide for practical tips on cash.

Also bring a little extra cash for things that are not included – extra drinks, personal expenses, tickets listed as “paid on site” and, if you wish, a tip.

Group or private tour?

Group tour Private tour
Who is on it You may share the experience with a few other travellers Just your party
Guide and vehicle Shared Your own guide and vehicle
Timing Fixed departure times Can be adapted to you

Most tours let you choose the option that suits you on every booking. Some tours have a minimum: the 2-hour jeep tour needs at least 2 guests per booking, and in Sapa each jeep carries 2–6 guests from the same booking. Each jeep seats up to 6 guests; in Sapa, larger groups travel in several jeeps together.

Changing your date

Plans change. Deposits are non-refundable, but you can move your tour to another date, subject to availability. Just message us on WhatsApp with your booking reference and the new date you would like. The earlier you tell us, the more choice of dates you will have. Read the full cancellation policy before you book.

If the weather turns

  • If we cancel because the weather makes the tour unsafe, you can move it to another date free of charge or choose a full refund.
  • If the tour goes ahead and you decide not to join because of the weather, the deposit is not refundable, but you can still change your date.

Children, holidays and extras

Children

Age Price
Under 5 Free
5 to 8 75% of the adult price
9 and over Adult price

Every child gets their own child seat in the jeep. On scooter and motorbike tours each child rides their own motorbike with a rider; a child too small to sit alone rides on the parent’s lap, held by the parent. See tours with kids, families and seniors.

Public-holiday surcharge

A surcharge applies on public holidays such as Lunar New Year, and it is payable on site. If your tour falls on or near a holiday and you want to know the amount in advance, message us before booking.

Optional extras

  • Female guide in a traditional ao dai on Hanoi jeep tours – US$5 per person
  • Ride with a female rider in an ao dai on Instagram city and Mega Grand World tours – US$5 per person
  • Fujifilm retro camera with one printed Instax photo on Instagram tours – US$5 per person
  • Ao dai rental at a local boutique before Instagram tours – small fee paid on site

What is usually included – and what is not

Every tour page has its own list. These are the common patterns:

Vehicle with a professional driver or rider, or your e-bike or buggy Extra drinks and food not listed
Helmet on two-wheel and ATV tours, and on Instagram tours by motorbike Personal expenses

Rain ponchos on all tours when it rains VAT on some tours (shown on the tour page)
Food and drinks listed in the itinerary Personal travel insurance for your whole trip (sensible to have, with medical cover)

Booking checklist and special requests

  • Right tour, right date and right departure time (check the time zone on your calendar – tours run on Hanoi time)
  • Group or private chosen
  • All adults and children entered, with children’s ages
  • Hotel name and street address, or “meet the guide at the starting point”
  • Dietary needs, allergies and anything else we should know in the notes
  • Extras ticked (ao dai guide or rider, Instax camera)
  • Deposit paid with your booking reference in the transfer note
  • Screenshots saved of your booking reference and deposit

Requests we confirm before you book

Most requests are standard and just need a line in the booking notes: a child seat for every child in the jeep, a rider for every child on scooter and motorbike tours, and any dietary request – halal, vegetarian, vegan, gluten-free or allergies. A few things depend on the day, the route or the vehicle, so message us first about:

  • mobility needs,
  • the exact holiday surcharge on Lunar New Year dates.

Frequently asked questions

How much is the deposit to book a tour?

A small deposit secures your place: 15% of the total for bookings under US$100 and 10% for bookings of US$100 or more. The exact amount is shown when you book, and the rest is paid on the tour day.

How do I pay the balance on the tour day?

You can pay the remaining balance in cash – either Vietnamese dong or US dollars – or by bank transfer. Bring the amount shown in your booking, and a little extra cash for anything not included, such as drinks or tickets paid on site.

Can I change my tour date after booking?

Yes. Deposits are non-refundable, but you can move your tour to another date, subject to availability. Just message us on WhatsApp with your booking reference and the new date; the earlier you ask, the more choice you have.

What happens if the weather is bad?

If we cancel because the weather makes the tour unsafe, you choose between a free date change and a full refund. If the tour goes ahead and you decide not to join, the deposit is not refundable, but you can still change your date.

Do children pay full price?

Children under 5 are free, children aged 5 to 8 pay 75% of the adult price, and children 9 and over pay the adult price. Include every child and their age in your booking, even those travelling free, so we can prepare a child seat in the jeep.

What is the difference between a group and a private tour?

On a group tour you may share the vehicle and guide with a few other travellers at a fixed departure time. A private tour is just for your party, with your own guide and vehicle, and the timing can be adapted to you.

What payment methods do you accept?

You pay the deposit online by the method shown when you book, and the balance on the tour day in cash (Vietnamese dong or US dollars) or by bank transfer. Add your booking reference to any payment note so we can match it, and message us on WhatsApp if you have trouble paying.

Is there a surcharge on public holidays?

Yes. A surcharge applies on public holidays such as Lunar New Year (Tet), and it is payable on site. If your tour falls on or near a holiday and you want the amount in advance, message us before booking.

Can I book a private tour instead of a group tour?

Most tours can be booked as either. On a group tour you may share the vehicle and guide with a few other travellers at a fixed time; a private tour is just for your party, with your own guide and vehicle and timing adapted to you. In Sapa each jeep is private to one booking anyway.

What is included in the tour price?

Typically an English-speaking guide, the vehicle with a professional driver or rider (or your e-bike or buggy), a helmet on two-wheel and ATV tours, hotel pickup around the Old Quarter, insurance, and any food, water and entrance fees listed on the tour page. Tips, extra drinks, personal expenses and some tickets paid on site are not included.

How far in advance should I book?

You can book up to a year ahead. In peak season – autumn and around holidays – the vintage jeeps and female-rider teams fill up, so booking a few days ahead is wise; at quieter times a day or two is usually enough.
